· Handle complaint admin and maintain complaints logs including tracking responses and preparing data for Moda Operations reports

· Handle and track incident report data

· Handle and track non conformance reports and tracker

· Handle and update MIMP across all sites

· Quality Management System admin control (QMS) and document management in accordance with ISO requirement for approval and data version control

· Book and coordinate meetings

· GDPR administration, support data protection administration including subject data and requests and data breach reporting

· Track Moda Operations licenses

· General administrative duties for Managing Director, Operations Director & Asset Management Director

· Travel and hotel bookings

· Attend meetings

· Manage team bookings of guest apartment at each development with each General Manager

· Monthly newsletter

· Monthly team socials meeting

· Internal training administration

· Admin support for the HR function

· Creation of PowerPoint slide presentations

· Birthday acknowledgement emails


· You are highly motivated and understand the importance of adhering to deadlines

· Strong administration skills

· Ability to compose and produce standard letters and reports

· Ability to undertake notes/minutes at meetings

· Strong verbal and written communication

· Ability to deal sensitively and appropriately with confidential information

· Methodical and thorough approach to work

· Excellent organisational skills


· Minimum of three years’ experience within an administration role.

· Minimum of 5 x GCSE qualifications A-C; including Maths & English

· Knowledge of general IT systems and applications including spreadsheets and databases

· Experience of liaising with internal and external contacts at all levels

· Experience of producing letters and documentation

· Experience or prioritising workload, time management and dealing with conflicting priorities

· Professional presentation, confident and outgoing in nature

· Well organised, ability to problem solve and works under pressure with great decision-making skills

· Able to demonstrate an organised and professional approach and ability to priorities

· Previous handling of sensitive information and compliance with GDPR

· BTR Or Hospitality background desirable but not essential
